Page numbers describe location
Ordinary page numbers usually tell a reader where a page sits inside one document: page 1, page 2, page 3 and so on.
They are useful for navigation, reading and citation inside a single PDF, but the same page number can appear in many different files.
Bates numbers identify pages within a larger set
A Bates identifier is designed to give a page a unique reference within a document production or review set. A label such as CASE-000127 can still identify that page even when documents are split, merged or reviewed separately.
That is why Bates numbering is common in discovery and document-production workflows where many files need one consistent reference system.
Prefixes and padding add context
Bates numbering can include a party or matter prefix plus a fixed-width sequence number. Zero-padding makes identifiers sort consistently and helps keep the format stable as the production grows.
Ordinary pagination usually does not need that extra identity layer because it only describes position within the current document.
You can use both when the workflow requires it
A PDF can contain normal page numbers for readers and Bates identifiers for legal or production reference. They solve different problems, so one does not automatically replace the other.
If both are present, choose positions that do not overlap and follow any filing or production specification supplied by the recipient.
Choose the tool based on the job
Use Page Numbers when you simply need readable pagination inside one PDF. Use Bates Numbering when pages need stable sequential identifiers for a legal, compliance or document-production workflow.
When the numbering convention matters externally, the receiving court, firm or production protocol should determine the final format.
